How to Organize Your Outlook Inbox and Reach Inbox Zero

If you have 10,000 unread emails, it's time to take control of your Microsoft Outlook inbox. Here is the framework for achieving "Inbox Zero".

1. The 2-Minute Rule

If an email takes less than two minutes to answer, do it immediately. If it takes longer, flag it as a Task or move it to an "Action Required" folder for later.

2. Set Up Rules for Newsletters

Don't let newsletters clog your primary view. Right-click a promotional email, select Rules > Always Move Messages From... and send them to a dedicated "Reading" folder you check once a week.

3. Use Quick Steps

Quick Steps let you combine multiple actions into one click. For example, you can create a Quick Step that simultaneously replies "Approved", forwards the email to your boss, and moves the original to an Archive folder.
